Structured Processes for Greater Efficiency, Quality and Competitiveness

A process is a sequence of clearly defined activities in which one or more inputs, such as materials or information, are transformed into a product or service through a series of coordinated steps. Objectives, roles, and responsibilities are defined so that every step remains transparent and repeatable.

Types of Processes

Organizations work with different types of processes, each serving its own purpose and contributing to the company in its own way.

Management processes encompass all activities and decisions required to steer and control an organization. Their purpose is to achieve strategic objectives and continuously improve overall efficiency. Typical management processes include planning, organizing, leadership, and controlling.

Core processes are the central value-adding activities that directly contribute to fulfilling an organization's primary objectives. Examples include product development, production, and sales.

Support processes exist to enable and facilitate core processes and ensure smooth day-to-day operations. These typically include functions such as IT, human resources, and accounting.

A process landscape provides a structured overview of all processes within an organization, helping to visualize the relationships and interdependencies between them, serving as a key instrument for targeted optimization.

Process Representation

Various methods and models can be used to visualize and document processes. The SIPOC model, standing for Suppliers, Inputs, Outputs and Customers helps identify and document key elements of a process. It provides a clear overview of suppliers, required inputs, individual process steps, resulting outputs, and the customers involved.
Another important tool for process modeling is Business Process Model and Notation (BPMN). BPMN is a standardized graphical notation used to model business processes. It visually represents activities, roles, and interactions between processes through a defined set of symbols and diagrams. Actively Involving all process participants, as well as the designated process owner, is essential for successful and accurate process visualization.

Why Are Processes Important?

Processes are essential for mapping an organization's operational structure in a clear and systematic way. They promote consistency and efficiency by ensuring that tasks are performed in a standardized manner across the entire organization, contributing significantly to a company's stability and long-term growth.
The word "process" derives from the Latin procedere, meaning "to move forward": a reflection of the continuous development and improvement that well-defined processes make possible.

Designing Processes

A well-designed process aims to reduce or eliminate non-value-adding activities in order to increase efficiency and productivity. Customer needs and expectations take center stage, supported by optimized communication interfaces and strengthened collaboration across the organization.
Process design follows a structured sequence of steps:

  1. Define the process objective
  2. Conduct an initial analysis to capture current workflows and identify weaknesses
  3. Develop a target-state concept outlining the improved future workflows
  4. Implement the new workflows within the organization and its IT systems
  5. Monitor and continuously optimize the process to ensure long-term effectiveness

Sound process design helps reduce operational costs and maintain competitiveness.
It is worth noting that capturing the current state (as-is analysis) is not always a necessary starting point. In many cases, the focus should be placed directly on defining the target state (to-be concept), verifying it against the actual situation, and deriving the required measures from there. This approach ensures strong alignment with desired outcomes and enables more efficient implementation.

Conclusion

Processes are the backbone of every organization. They provide structure, foster efficiency, and ensure consistent ways of working. By clearly defining and continuously improving their processes, companies can achieve their objectives more effectively, safeguard the quality of their products and services, and secure long-term competitiveness. Careful process design and ongoing monitoring are therefore essential cornerstones of sustainable organizational success.
